August 12, 2026: Booth Layout Form
Your official Booth Layout Form is due on this date. This mandatory submission gives Show Management the layout details they need to plan around your space, so it's worth finalizing your floor plan well before this deadline arrives.
August 14, 2026: Hotel Cancellation Deadline
This is the last day to completely cancel hotel reservations within the official housing block without standard financial penalties. If your travel plans are still in flux, confirm your room needs before this date to avoid being charged for rooms you no longer need.
August 19, 2026: All Other GES Services
This is the broader discount deadline covering furniture, cleaning, I&D labor, forklift and crane labor, and exhibit systems rentals. This same date is also the cutoff for specialized logistics paperwork, including the Vehicle Placement Form and Show Site Storage Order Form, so it's worth treating August 19 as a single, all-hands checkpoint for anything not already locked in on August 5.
Mid-August 2026: Freight Planning Updates
Every exhibitor is assigned a service package based on booth freight density, which determines what's included in your material handling costs. Initial freight estimates are due earlier in the year, but exhibitors can keep refining weights, dimensions, and carrier information into mid-August. The more accurate this information, the smoother your freight moves through check-in on show days.
September 7, 2026: Advance Warehouse Shipping Deadline
If you're shipping to the advance warehouse rather than direct to show site, materials need to arrive by September 7, 2026. Nothing stops you from ordering after August 5 or August 19, but everything gets more expensive and less certain. On-site labor rates apply, preferred time slots for I&D crews fill up, and popular furniture, carpet, or graphics may simply be unavailable by the time you place an order.
